Privacy Policy

Shepherd (“we”, “us”, “our”) is a pastoral care tool that helps pastors and church leaders keep track of the people under their spiritual care. This policy explains what information we collect, why we collect it, and what we do with it.
1. What we collect about you (the leader)
When you sign in to Shepherd, we collect:
- Your Google profile basics — name, email address and profile picture — via Google sign-in.
- Your church or ministry name.
- Your role and the modules you choose to enable.
- Optionally, your WhatsApp phone number, if you want notifications.
- Standard technical data — IP address, browser, device type and basic usage logs — to keep the service running and secure.
2. What you record about your congregation
As a leader, you enter information about the members under your care. This typically includes names, phone numbers, birthdays, addresses, workplaces, attendance records, prayer requests, tasks, scores and notes. You are the data controller for this information — Shepherd is the processor. You are responsible for collecting it with appropriate consent and only using it for the pastoral purpose it was shared for.
3. How we use this data
- To provide the features you use — dashboards, attendance, follow-ups, tasks, the library and so on.
- To send the WhatsApp notifications you and your team opt into (daily summaries, task assignments, reminders).
- To keep your account secure and the service operational.
- To respond to your support requests.
We do not sell your data. We do not use it to train models. We do not show ads.
4. Who we share it with
We share data only with the processors needed to run the service:
- Google — for sign-in.
- MongoDB Atlas — for database hosting.
- WhatsApp (Meta) or OpenWA — to deliver WhatsApp notifications to your team. Numbers are sent only when notifications are enabled.
- Hosting and email infrastructure providers — to deliver the application and transactional emails.
We never share or sell your data to third parties for advertising or marketing.
5. Cookies
We use essential cookies for sign-in sessions and to remember preferences like an open sidebar. We do not use advertising cookies.
6. Keeping data safe
Data is stored on managed cloud infrastructure with encryption at rest and in transit. Access is restricted to people who need it to operate the service. No system is perfect — if a breach occurs that affects your data, we will notify you promptly.
7. Your rights and your members' rights
You can request access to your data, correction, export or deletion at any time by emailing us. Because your congregation members' data is recorded by you, requests from those members should generally be handled by you first — but we will assist where required by law.
8. Children
Shepherd accounts are for adults. We do not knowingly collect account data from anyone under 13. Pastors may record the names and basic information of younger congregation members as part of their pastoral care; you must do so in line with the consent practices of your church and applicable law.
9. Updates to this policy
We may update this policy from time to time. Material changes will be communicated by email or in-app notice.
